ImmCase vs a general-purpose CRM

A general CRM is built to move a deal towards a close that you control. An immigration matter spends most of its life waiting on a decision you do not control. Everything that feels wrong about running a practice on a sales CRM comes from that one mismatch.

What a general CRM is genuinely good at

Capturing enquiries, chasing them, and telling you which marketing produced them. If your problem is that leads go cold before anyone calls, a general CRM solves that, and it solves it well. Plenty of practices should have one.

The trouble starts after the client says yes — the point where a sales tool thinks the work is finished and immigration work is only beginning.

Where the shape stops fitting

None of these are bugs in the CRM. They are a tool being asked to model something it was not built for.

  • A pipeline that does not closeSales stages assume forward motion. A matter can sit in "submitted" for months, and a board built for velocity reports that as a stalled deal rather than a normal Tuesday.
  • Documents as attachmentsImmigration work is documents: versions, expiry dates, whose passport, which application. A CRM treats them as files stapled to a contact record.
  • One contact, one dealA family application is several people on one matter, with relationships that decide eligibility. Modelling that in custom fields works until someone has to report on it.
  • Forms are somebody else's problemThe CRM holds the data and you retype it into the forms. That is the step where refusals are made.
  • The client has nowhere to lookSales CRMs are built for internal users. Giving a client a window onto their own matter is usually a bolt-on, if it exists.
  • Configuration becomes a projectEvery practice that has done this has a person who "knows how the CRM is set up". That knowledge is a dependency, and it leaves when they do.

What purpose-built changes

ImmCase starts from the shape of a matter rather than the shape of a deal, so the parts a practice spends its day on are the parts that already exist.

  • Communications in the platform: SMS, a dedicated line, WhatsApp, video calls
  • Forms validation and autofilling instead of retyping into PDFs
  • Secure storage from 50 GB, with the evidence on the matter
  • A client portal with mobile apps, so the client can see status themselves
  • Hosted in Canada

And what it does not replace

ImmCase is not a marketing automation platform. If you are running campaigns, scoring leads and reporting on attribution, that is a different job and a general CRM does it better. Some practices run both, and that is a reasonable answer.

Where a general CRM is still the right call

If most of your difficulty is getting enquiries and converting them, and the matters themselves are straightforward and few, a general CRM aimed at the top of the funnel will help you more than practice software will. Buying the wrong one of these two is an expensive way to discover which problem you actually have.

The question worth asking is where your week goes. If it goes on chasing leads, buy a CRM. If it goes on chasing documents, statuses and clients who cannot see their own file, that is what this is for.

If you are not running a CRM at all and the real comparison is your tracking sheet, that one is here.
